Does Arrowhead offer more than one wedding venue?
Yes. Arrowhead offers 2 separate ceremony and reception sites:
The Roxborough Banquet Room features floor-to-ceiling windows, which offer guests a stunning panoramic view of the red rocks. The Roxborough ceremony site is located outside, directly below the banquet room in a grassy, circular lawn which overlooks the flat irons.
The Tent Pavilion is a stand-alone outdoor structure, which is nestled against the red sand stone rock. This venue also offers striking views of the flat irons. The tent has retractable walls with clear windows and these walls can be kept open during events. The Tent Pavilion ceremony site is located next to the tent, in a nearby, grassy practice area. There is a Venue Rental Site Fee for booking the Tent Pavilion. The Tent is not temp-controlled and 2 blowing heaters and 2 blowers for these heaters are available for a rental cost of $1,200+. We will need 24 hours notice to rent these items.
How many guests can Arrowhead accommodate?
The Roxborough Banquet Room seats 150 guests. Arrowhead can provide an additional 30 seats on an adjoining patio if a guest list exceeds 150 attendees.
If a Host has less than 150 guests and would like to rent the adjoining patio space, this can be accommodated for a rental rate of $1,000+.
The Tent Pavilion can accommodate 200 guests. Arrowhead only serves buffet-style entrée service in the Tent Pavilion.
Can I have a ceremony-only event at Arrowhead?
No. Arrowhead asks that all wedding events include a reception.
Can I have just my reception at Arrowhead?
Yes, although most couples choose to have their ceremony in addition to the reception at Arrowhead because of the magnificent views.
Can wedding clients rent additional event time?
Arrowhead Wedding Events are allotted 5 hours of event time. Clients may add a 6th hour to their event for $500++ or an additional 30 minutes for $300++. The additional time is added to the beginning of a daytime event and is added to the end of an evening event. This additional hour must be determined 90 days prior to your event date. If you add more event time, you will need to keep in mind that you might also need to add a Host Bar or a Cash Bar option for additional bar services to accommodate this longer timeframe. All Arrowhead events need to end by 1:00 am. We add a 22% service charge for Banquet Staff Team Members to all additional rental hours. If any vendors arrive earlier than contracted timeframes, the wedding couple will be charged for the additional access time.
Can I have my rehearsal at Arrowhead?
If clients are having their ceremony at Arrowhead, they will have a complimentary hour to host a rehearsal on property. Rehearsals are scheduled around other events. Almost all rehearsals take place the day before our clients' wedding dates, but rehearsals are always scheduled 30 days prior to wedding dates. We cannot schedule rehearsals 6 months to a year in advance. Arrowhead guarantees the rehearsal will be scheduled during the week of the host’s wedding. We ask clients to have officiants and/or wedding planners present to orchestrate this rehearsal.
Can Arrowhead host my rehearsal dinner?
Absolutely! Arrowhead has a wonderful restaurant and outdoor restaurant patio. In order to reserve restaurant space, you will need at least 2-12 guests included in your Rehearsal Dinner Reservation. Wedding couples will be asked to pre-order dinner entrées from a Special Restaurant Events Menu. Please know that you will be sharing these spaces with Arrowhead patrons.
For larger rehearsal dinners with wedding parties over 12 guests, the wedding couple can rent our Roxborough Banquet Room and use various catering menus to accommodate their food and beverage needs. Please ask the Catering Director to hear about specific Rehearsal Dinner options.
Is there a changing room?
Arrowhead does provide a changing room for Tent Pavilion Weddings. Arrowhead currently does not have a changing room for Roxborough Banquet Room Weddings. If Arrowhead does not have a Tent Pavilion Wedding happening on the same day as a Roxborough Banquet Room wedding, couples are more than welcome to use the designated changing room. However, most wedding parties arrive at Arrowhead ready to go: dressed, make-up done, and hair styled. Please ask Arrowhead about the changing room availability 30 days before the wedding date.
What if there is inclement weather on my wedding day?
Colorado weather can change very quickly and fortunately we have many sunny days during peak wedding season. If weather does not permit an outdoor ceremony, Arrowhead will move the ceremony inside to the Roxborough Banquet Room or inside the Tent Pavilion depending on which venue has been selected. Three of the four walls in the banquet room are floor-to-ceiling windows, so even with an indoor ceremony guests will still have the gorgeous red rock view in the background. The Tent Pavilion’s four sides have retractable walls with clear windows, so guests will have beautiful views from inside the tent as well. Arrowhead offers “Oscar-Style” seating for inclement weather ceremonies where guests remain seated at their dining tables during the ceremony. This style of seating allows staff members to focus on servicing guests needs during cocktail-hour versus re-arranging the furniture in the room. Arrowhead does not permit outdoor weddings in the Off-Season if there is snow or heavy frost on the ceremony garden.
When is my final guest count due?
Final guest counts & final payments are due 10 business days prior to event dates.
Do I have to use Arrowhead-Preferred vendors?
Arrowhead strongly encourages utilizing a list of recommended vendors because these vendors have been to Arrowhead on at least 3 separate occasions and they have received rave reviews from Arrowhead clients. However, Arrowhead is not exclusive with any vendors, so if Hosts prefer to use someone else, they are more than welcome to do so. Please keep in mind that Arrowhead provides all the onsite catering. Clients do not have the option to bring in their own food & beverages. If interested, please ask Arrowhead to provide their Preferred Vendors List. Vendors are not allowed to drink on property, even if they are family members or friends. If you select a vendor who has not been on the property, please set-up a short site visit for them with Arrowhead’s Catering Manager.
Do wedding clients need to provide a meal for outside vendors?
Any vendor that will be staying throughout the reception usually likes a meal. Hosts can either provide them with a boxed lunch for $20++, or hosts may offer the vendors what the wedding guests are eating for half of the adult guest price. Please be sure to check vendor’s contracts as some may require a meal.
What is Arrowhead's service charge and tax?
22% service charge and 4% tax will be added to all Food and Beverage prices including alcohol tabs which are run at the bar. 4% Sales Tax will be added to all additional rental fees, products and services that Arrowhead provides (ex. Arrowhead Site Fee, Tent Fee, etc.)
Can I offer my guests more than one entrée if I am offering a plated-served entrée? Hosts may offer guests two main entrée selections, we call this a Duet. Pricing for entrée duet service is $5.00++ extra per guest. In the event that you are only offering 1 entrée per person, Arrowhead will need to know in advance exactly how many of orders of each entrée. Hosts will need to include the menu options on the response cards that are sent with the invitations. In addition; assigned seating place cards will be need to be clearly marked as to what menu option each guest has chosen. For example; the place card with the red heart sticker indicates beef and the place card with the gold star sticker indicates chicken.
Does Arrowhead offer entrée substitutions for guests with food allergies & restrictions?
Yes, please inform the Catering Sales Manager and menu options will be provided for guests with special dietary needs; Gluten-Free, Lactose Intolerant, Nut Allergy, Vegetarian, or Vegan. If a significant amount of guests need these specialized entrées then Arrowhead might need to make all entrées Gluten Free or Vegetarian.
Does Arrowhead provide day-of wedding coordinators?
Arrowhead does not offer day-of wedding coordination services. Although the Catering Director and/or Catering Manager will be present at your event, these staff members are managing the flow of the facility, directing banquet and kitchen staff members, ensuring the catering services are being executed as planned, and the managing the day-of timeline. Arrowhead can offer a Décor Set-Up Assistant to help out on the front-end of your wedding day for $300++. This staff member can help make your event more enjoyable; everything from helping place centerpieces, party favors, setting pre-alphabetized place cards, setting-up candy stations, and picking up ceremony flower petals. This Décor Assistant will not install client-provided chair covers and sashes or alphabetize client’s place cards. Wedding couples who opt out of renting a Décor Set-Up Assistant should coordinate help from Florists, outside wedding planners, friends, or family members.
Does Arrowhead offer a children’s meal and what is the pricing?
Children ages 4 and under may eat for free.
If hosts are offering a plated-served entrée, Arrowhead will provide a plated kids meal (for guests 12 and younger). If kids are between the ages of 5-12 years old, they will receive a plated kids meal for $20.
If hosts are offering a buffet-served entrée, Arrowhead asks children 12 and younger to eat from the buffet selections. If kids are between the ages of 5-12 years old, this buffet-served entrée will be $20.
Can I bring in my own food and beverages/alcohol?
Arrowhead is a full-service banquet facility and provides all food and beverage selections except wedding cakes. Hosts may have an outside baker provide and set-up wedding cakes. Arrowhead will cut, plate, and serve wedding cakes at no additional cost. Arrowhead offers no storage space for cakes, party favors, or candy stations. These items need to be brought on property at the set-up time which will be specified on the contract.
What linens are provided and what colors can I choose?
Arrowhead wedding pricing includes standard banquet linens for all dining tables (ivory or white), napkins (various colors), and all standard linens needed for the cake table, DJ table, guest book table, and gift table (ivory and white). Chair Covers and Sashes are not included. For an additional cost, Arrowhead’s Catering Manager is more than happy to rent specialty linen requests. Colors and pricing will vary according to your needs.
Do wedding clients receive a discounted golf green fee?
Yes, wedding parties will receive 20% off the current Rack Rate. This is a one-time outing that needs to be scheduled prior to your wedding date. One member from the wedding couple need to be present during this outing. To schedule tee-times, please contact our Director of Golf Sales: 720-542-7862. Scheduling golf tee-times is the same as any other public course; there is no guarantee of which tee-times can be scheduled until 30 days out. This means there is no guarantee that clients can play the day of or the day before their wedding.
What is Arrowhead’s décor policy?
Client-provided day-of décor cannot be stored on property. All client-provided décor needs to be brought on property at the set-up time which will be specified on the contract.
General Décor: Arrowhead does not allow rice, hay bales, confetti, sparklers, sky lanterns, fireworks, balloons, or glitter. Loose decoration materials are not allowed. These potential items need to be approved by Arrowhead’s Catering Manager. Examples of loose décor would be Rhinestones, Ribbon Streamers, Silly String, etc. Flower petals need to be real, not silk for outdoor ceremony aisle usage. Arrowhead will ask for a $500 clean-up fee if the client-provided décor that you want to keep is left on property at the end of the event.
Flowers: Flower petals (real or silk) are not allowed to be placed on the ceremony aisle for indoor ceremonies. Flower petals placed on the ceremony aisle for outdoor ceremonies need to be real.
Silk petals that are contained are permitted as center-pieces and bouquets. All flower petals and client-provided décor must be cleaned up by the florist or a wedding representative. Arrowhead will ask for a $500 clean-up fee if the flower petals are not picked up.
Candles: Arrowhead allows candles in the Roxborough Banquet Room. These candles need to be drip-less or contained in glass. Arrowhead cannot permit candles in the Tent Pavilion because we are part of Roxborough State Park and are required to obey fire codes.
Hanging Décor: Décor cannot be taped, nailed, or affixed to the windows, walls, ceiling beams, or railings on the patios. We ask hosts to utilize production vendors who maintain insurance policies for any décor that needs to be hung by the usage of ladders in the Tent Pavilion. Hanging décor is not allowed in the banquet room. Clients may provide 5 pre-cut, colored, gel squares for Arrowhead staff to change the Tent Pavilion lighting color. The gel installation fee is $50. The gels need to be 1ft. x 1ft.
Changing Suite: The changing suite (if applicable to the event) must be left in the same condition it was found. Arrowhead will ask for a $500 Clean-Up Fee if the changing suite has been damaged in any way.
What services do the catering director and the catering manager provide to Arrowhead’s wedding couples?
Arrowhead’s wedding couples will initially work with our Catering Director. This team member walks clients through site visits, explains pricing & policies, manages Reservation Forms on the Event Calendar, and handles the creation and completion of all banquet booking contracts. The Catering Director works closely with the Catering Manager in order to manage all pricing questions throughout the event planning process. Any contract changes or updates are made through the Catering Director.
Secondly, wedding couples will work with our Catering Manager. This team member is our onsite planner and she answers all day-of event questions, collects remaining contract payments, she recommends various vendors and services to best suit clients wedding day visions, and she sets-up site visits with various vendors who would like to see the venue space prior to wedding dates. The Catering Manager will schedule a Detail Meeting. This is an appointment where you work together to organize your event both logistically (floor plan), chronologically (time line), and map out your specific requests (Food, Beverage, Décor, etc.). Either the Catering Manager or Catering Director will be present at all Arrowhead Wedding Events.
Can I bring in a band?
Arrowhead always welcomes bands on property. The venue space and guest count will determine how much room Arrowhead can allocate for band members and equipment. Band members will not be allowed to drink on property. If the Tent Pavilion is your preferred venue, please note that bands will need to use a client-rented generator.
Can Arrowhead provide shuttle services?
Yes, based on availability. Arrowhead’s wedding couples can request a 56-Passenger Shuttle for $1,500+ with our Catering Manager. This shuttle will make multiple pick-ups and drop-offs at various hotel locations. This shuttle will remain at Arrowhead throughout your event. The rental rate includes 8 hours of travel time. Any additional travel time will be $100 per hour. Prices are subject to change based on availability. Shuttles need to be booked 4-6 months in advance from a Host’s wedding date.
Are there hotels in the area?
Yes, and several of these hotels offer shuttle services. Remember to ask for the Arrowhead Golf Club Preferred Rate!
